This Privacy Policy explains how VoIPSetu ("VoIPSetu", "we", "us", or "our") collects, uses, discloses, and protects information about visitors and customers of www.voipsetu.com and the VoIPSetu add-on suite for 3CX (the "Services"). VoIPSetu is operated by the entities listed under "Contact Us" below.

1. Information We Collect

a. Information you provide

Contact details you submit through demo, contact, partner, webinar, testimonial, or newsletter forms — name, work email, company, phone number, country.
Information you share during a demo, sales call, chat, or support conversation.
Billing information you provide when purchasing (processed by our payment provider — we do not store full card numbers).

b. Information collected automatically

Device and browser information, IP address, referring URL, pages viewed, and time spent.
Cookies, pixels, and similar technologies from Google Analytics, Google Tag Manager, and (where enabled) marketing platforms.
UTM parameters and click identifiers (utm_source, utm_medium, gclid, fbclid, etc.) used for attribution.

c. Information from the 3CX add-on Services

When you deploy VoIPSetu on your 3CX server, our software processes call detail records, queue events, agent status, and other telephony metadata generated by your 3CX instance within your own environment.
For "VoIPSetu + Agent Flow" deployments on a server we host on your behalf, the same data is processed on your dedicated instance and is not commingled with other customers.

2. How We Use Information

To respond to inquiries, schedule demos, and provide the Services you request.
To operate, secure, and improve the Services and our website.
To send transactional messages (booking confirmations, invoices, service notifications).
To send marketing communications where permitted — you can unsubscribe at any time.
To measure marketing performance and improve the effectiveness of our campaigns.
To comply with legal, tax, and regulatory obligations.

3. Legal Bases (EEA / UK)

Where GDPR or UK GDPR applies, we rely on: (i) your consent, (ii) performance of a contract, (iii) our legitimate interests in operating and marketing the Services, and (iv) compliance with legal obligations.

4. Cookies and Tracking

We use first-party and third-party cookies for functionality, analytics (Google Analytics 4), and marketing attribution via Google Tag Manager (container GTM-TW5TFLF3). Service providers that host our infrastructure, process payments, send transactional emails, provide analytics, and support customer conversations.
Business partners such as our 3CX partner network — only when you request an introduction or apply to a partner program.

We do not sell personal information.

VoIPSetu operates from India and the United States. Personal data may be transferred to and processed in those countries and by our sub-processors elsewhere, using contractual safeguards such as EU Standard Contractual Clauses where applicable.

We retain personal data only as long as needed for the purposes described here, to comply with legal obligations, resolve disputes, and enforce our agreements. Marketing data is retained until you unsubscribe or ask us to delete it.

We use administrative, technical, and physical safeguards designed to protect personal data, including encryption in transit, role-based access controls, and least-privilege service credentials. No method of transmission or storage is 100% secure.

9. Your Rights

Subject to applicable law, you may have the right to access, correct, delete, restrict or object to processing, and port your personal data, and to withdraw consent at any time.
